Supplyframe, a Siemens company, is an innovative and rapidly growing leader in the electronics component industry. We are seeking an Executive Office Assistant based in our Pasadena, CA office. You will report directly to the CEO and support other executive/senior leaders within the organization. The ideal candidate is independent, self motivated and works efficiently with little to no supervision. In-house training provided.
Provide a wide range of high level administrative and operational support for the executive leadership team while managing day to day office responsibilities
Act as travel liaison by booking flights, reserving hotel rooms, restaurants, etc. for internal and external stakeholders
Answer incoming phone calls, schedule virtual/in-person meetings & appointments, greet customers/visitors and provide general administrative support to our employees
Serve as the point of contact for office maintenance & amenities, manage inventory for office supplies/equipment (coordinate with IT as needed), handle all shipping & receiving and mail management
Liaise with facility management vendor, including cleaning, catering and security services
Assist in HR administrative duties such as scheduling interviews, sending new hire kits, etc. while maintaining confidentiality and managing office health & safety protocols; having knowledge of the company’s policies and best practices to ensure compliance
Support marketing activities, events, celebrations & conferences as needed
Who/What We Are Looking For:
Bachelor’s degree is preferred and at least 2 years of related experience required.
Proven experience as an Executive/Administrative Assistant, Office Manager, Front Office Manager or other customer-facing roles
Knowledge of Office Administrator responsibilities, systems and procedures
Proficiency in MS Office
Excellent time management skills and ability to multitask and prioritize work
Attention to detail, problem solving skills and extremely proactive
Excellent verbal and written communication skills
Strong organizational and planning skills in a fast paced environment
A creative mind with an ability to suggest improvements

The pay range for this position is $22.12 - $38.46 per hour. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications and premium geographic location.
